Chauffeur Service for Board Meetings and AGMs

A board meeting or AGM has one fixed start time and several independent travellers converging on it. Here's how ground transportation gets planned around that, not around a single trip.

A different kind of transport problem

Most corporate ground transport plans around one traveller's itinerary. A board meeting or AGM is the opposite: a single fixed start time that several directors, officers, or shareholders need to hit independently, often arriving from different cities on different flights. A late car for one director holds up a meeting with everyone else already seated, so the planning has to start from the meeting time and work backward for each traveller, not forward from each traveller's schedule.

Coordinating directors from multiple cities

When board members are flying in from more than one city, each pickup needs to be timed to that traveller's actual flight, not a generic buffer, with airport meet-and-greet and flight tracking so a delay doesn't cascade into a late arrival at the meeting. Routing every pickup through one point of contact, rather than each director or their assistant booking separately, is what keeps a multi-city board day from turning into several uncoordinated bookings with no shared visibility.

Discretion, by default

Board meetings and AGMs routinely involve material non-public information, and in some years an activist-investor situation where who is meeting whom draws real scrutiny. That calls for unbranded vehicles, no signage, and chauffeurs who are professional and NDA-capable as a matter of course, not a special request. Nothing about the car should draw attention to who is in it or why.

Planning for a meeting that runs long

Board meetings rarely end exactly on schedule, and a contested vote or a long AGM Q&A can run well past the planned close. As-directed (hourly) service, with the car and chauffeur held rather than released, absorbs that without a scramble to re-book once the meeting finally lets out. For a same-day return flight, that buffer is what keeps a delayed meeting from turning into a missed flight.

Setting it up once

A corporate secretary or executive assistant organizing the day is usually coordinating several travellers' transportation at once, on top of everything else the meeting requires. Booking it under one corporate account means every director's pickup, the meeting-day car, and any evening departure settle onto a single invoice, confirmed in writing in advance, rather than being pieced together trip by trip.
